Trianon Bonita Bay is a 100-room boutique hotel in Bonita Springs, Florida, two miles from the beach, serving mainly leisure guests plus weddings and groups. Director of Sales Stacy Robertshaw has worked there for 30 years, and many front-desk staff have a decade or more of tenure. A Stayntouch customer story explains how the hotel replaced the PMS they had used for decades.
Why change
The legacy PMS had served well, but became cumbersome after moving to the cloud. The hotel was also required to use the provider's payment processing under a three-year contract. When it ended, the team reconsidered. Robertshaw says Stayntouch was "way easier to use and more user-friendly," and offered the most competitive and transparent payment fees they saw: "With Stayntouch, we could see everything." The hotel chose Stayntouch PMS and Stayntouch Pay, with plans to add mobile check-in.
A quick transition
Despite long-established habits, staff were working in the new system the same day they were shown it. "I was very surprised that it went so smoothly," Robertshaw says. Stayntouch ran weekly calls, responded quickly and arranged an onsite team member at go-live at short notice.
Easier groups
Group bookings previously needed a manual workaround for online group codes. Now Robertshaw creates the group and the data flows into the channel manager automatically. "It's way, way more seamless," she says.
Time saved, faster reservations
She estimates Stayntouch already saves her a couple of hours a week across groups, reporting and daily tasks, and finds the reports easy to use and adjust. Online reservations that once took two to three hours to reach the PMS now arrive in about five minutes, sparing the front desk awkward arrivals before bookings appear.
Looking back
Robertshaw's only regret is not switching sooner, a useful lesson for long-established independent hotels wary of change.
