Stayntouch has published an adapted version of an article by Priya Rajamani, SVP of Client Success, Implementation and Support, which originally appeared in Hospitality Technology. She argues that the PMS should act as a hotel's "control tower", and that being at the center of the stack is not the same as running it well.
Two models
Hotels are typically offered either an open, best-in-class approach, with specialist platforms connected around a core PMS, or an all-in-one suite bundled by one vendor. Rajamani says the all-in-one option can look simpler on paper, but more products under one roof does not guarantee smoother operations. Buyers should ask whether a platform can serve as the foundation for everything else rather than counting features.
Five traits of a real control tower
- Reliability: the PMS runs front desk, billing and guest communication and cannot have an off day. Rajamani warns that hosting legacy on-premise code on separate servers is not the same as being cloud-native.
- Hospitality-focused support: as vendors grow through acquisitions, specialist support can give way to generalist models. Look for a team that understands hotel operations.
- One consistent experience: suites stitched together through acquisitions often make staff jump between screens and workflows; a single intuitive workspace speeds training and work.
- Integrations that truly connect: bundled systems may rely on third-party middleware between acquired products, causing configuration mismatches. Open architecture with deep partner connections lets hotels choose, swap or add tools.
- Growth without a ceiling: smaller operators often start with all-in-one systems, but convenience can turn into constraint as they scale, prompting moves toward more flexible ecosystems.
The bottom line
"Every PMS sits at the center of the hotel. Not every PMS is built to run it," Rajamani writes. The right system keeps operations steady, gives teams clarity and scales with the business.
